Copilot in Outlook and Teams: a practical guide

The short answer: this is where Copilot shines brightest. In Teams it recaps meetings — including ones you missed — and catches you up on chat threads in seconds. In Outlook it drafts emails, summarizes endless threads, and helps you triage the inbox. If any part of Copilot justifies the price on its own, it's this one.

Teams: never miss a meeting again (sort of)

Meeting recap. After a transcribed meeting, Copilot produces a summary with decisions made, action items, and who said what. Missed the meeting? Read the recap in two minutes instead of watching the recording. Ask follow-ups: "what did we decide about the budget?" "What are my action items?"

Chat catch-up. Open a channel with 200 unread messages and ask Copilot to catch you up. It summarizes the thread, flags decisions and open questions, and tells you where you're mentioned. This is the feature that converts skeptics.

The requirement people miss: transcription must be on for recaps to work. If your org disables transcription, there's nothing to recap. That's an admin setting, not a Copilot bug.

Outlook: taming the inbox

Thread summaries. Long email chains get a "summarize" option that distills 40 messages into the actual state of play. Read the summary first, dive into the thread only if something looks off.

Drafting. "Draft a reply confirming Thursday and asking for the agenda" produces a usable email from your inbox context. As with Word, expect to edit — Copilot's tone defaults to corporate-polite, which may not be yours.

Prioritization. Copilot can surface what's actually urgent versus what's just loud — flagging messages where you're asked a direct question or where a deadline is mentioned.

Coaching. Before you send the heated reply, Copilot can suggest a calmer version. Genuinely useful, mildly humbling.

Where it falls short

  • Nuance in meetings. Recaps capture what was said, not the room — the hesitation, the politics, the thing everyone understood but nobody said. Don't skip meetings that matter.
  • Your voice in email. Copilot drafts read like Copilot. For important relationships, rewrite in your own words.
  • Privacy boundaries. Copilot respects your organization's permissions — it won't show you data you can't access — but be thoughtful about what you ask it to summarize from shared spaces.
